About the position

The Deputy Vice-Chancellor, Research and Industry Engagement (DVCRIE) portfolio provides strategic direction and support for research and research performance at La Trobe University and consists of the Office of the DVCRIE, Research Office, Office of PVC Industry Engagement, Office of PVC Research Capability, and the Office of the PVC Graduate and Global Research.

The position of Senior Executive Support will provide a high level of executive assistance and professional administrative support across the DVCRIE portfolio, primarily support for the Pro Vice-Chancellor Industry Engagement. The Pro Vice-Chancellor Industry Engagement leads a team of engagement professionals who lead and support engagement with industry in collaboration with academic and professional colleagues across La Trobe University.

Reporting to the PVC Industry Engagement, the incumbent will be responsible for providing executive support including effective calendar and meeting management, meeting coordination and secretariat support whilst maintaining high quality level liaison with partners and stakeholders. This role ensures the Pro Vice-Chancellor (Industry Engagement) is prepared and informed on relevant matters in a timely manner. This includes researching, preparing and ensuring responses to emails, diary requests and phone calls occur in a timely manner.

In providing this support the position collaborates with the DVCRIE Portfolio senior executive support staff, administrative support staff across the University, and external partners. The incumbent will work as part of a team, contribute significantly to the efficient functioning of the DVCRIE Portfolio administrative support teams and observe a high standard of confidentiality.

 

Skills and Experience

To be considered for this position, you will have:

  • Educational Background: Degree with relevant experience or extensive experience in an administrative field, or an equivalent combination of knowledge, training, and experience.
  • Technical Proficiency: Advanced skills in Microsoft Office and general computer applications, including database applications and AI and online collaboration tools. Familiarity with customer relationship management (CRM) databases and reporting.
  • Communication Skills: Excellent interpersonal and communication skills, with the ability to build rapport and liaise effectively with people at all levels.
  • Organizational Skills: Demonstrated planning and organizational skills, with the ability to coordinate work, manage a busy schedule, and meet competing deadlines.
